United Rentals Fleet Administrator Agent I in Scottsdale, Arizona

Description:

This position performs various operational duties and tasks involved in the management of the outsourced vehicle fleet. Responsible for the administration of fleet policy and programs including processing invoices, credit memos and allocating charges to cost centers. This position also interacts with corporate and sourcing departments, operations, leasing companies, OEMs, upfitters, and fabricators.

Purchasing :

  • Works to build and maintain a standardized fleet with supplier and field to determine appropriate equipment/truck/trailer specifications and options

  • Monitors orders to completion. Works with Suppliers on revised delivery dates and to expedite equipment shipments and ensure on-time delivery

  • Research and update current specifications and quotes on intranet excel file.

  • Attends supplier meetings as directed by management

  • Identifies and documents cost savings opportunities, such as researching different deals on equipment to obtain better package pricing.

  • Assist purchasing department with vehicle specifications, orders, and vendor issues.

Vehicle Administration:

  • Manages system to ensure data integrity within RentalMan and vendors.

  • Maintains and monitors vendor performance standards.

  • Processes vehicle change forms from Vehicle Fleet email box for location changes, driver changes. Submit changes to leasing company vendor.

  • Validates units billed on leasing invoices. Contact branch or leasing company on discrepancies and continue through to resolution.

  • Prepares leasing invoices for approvals and payment

  • Administers vehicle title change processes

  • Acts as liaison between OEMs, upfitters and leasing companies in resolving issues and coordinating vehicle acquisitions, disposals and services.

  • Prepares and submits expense allocation files to Fixed Assets

Customer Service:

  • Assists field and region locations with:

  • Order Status

  • Requisition tool

  • Vehicle/Trailer specifications

  • Fuel Cards

  • Licensing, Titling and Registrations

  • Vehicle Disposal

  • Policies and Procedures

  • Allocated expenses

  • Vehicle Leases

  • Resolves issues between suppliers and field locations

  • Responds to requests from inquiries from regions and corporate departments

  • Responds to departmental inbox emails.

Requirements:

Education : High School diploma or equivalent combination of education and experience required

Experience :

  • Minimum 6 months to 1 year work experience required

  • Related work experience in the areas of purchasing, vehicles, titles or licensing preferred

  • Knowledge of construction industry a plus

Other Skills Required:

  • Intermediate proficiency in Microsoft Office applications, with an emphasis on Excel

  • Excellent written and verbal communication skills

  • Highly organized individual, attention to detail

  • Ability to prioritize and multi-task
